HIPAA Compliance

Is IntegraChat HIPAA Compliant?
What healthcare practices need to know.

Short answer: yes — IntegraChat is designed for HIPAA compliance. The system was built for dental, medical, veterinary, and eye care practices that need fast, reliable staff communication without exposing patient information. Every page, chat message, and analytics record stays on the office’s local area network. Nothing is transmitted to a cloud server, nothing passes through an external relay, and no third-party service stores practice data. There is no internet dependency at all: the server runs on a Windows PC inside the office, and clients connect directly over the LAN, so the system keeps working — and keeps patient data local — even during internet outages. IntegraChat also gives practices administrative control over the system: staff sign in with their own identity and PIN, and the admin decides who can page, chat, and see the analytics dashboard. As with any covered entity, your practice’s own safeguards still matter: workstation access, device handling, and staff training remain your responsibility, and we recommend reviewing IntegraChat’s terms with your compliance officer. For practices that want paging speed without the compliance burden of a cloud service, that local-first architecture is the point.

How compliance works in practice

Local-only storage

Every message, page, and analytics record is stored on the server PC inside your office. No patient information ever leaves the building.

No cloud relay

There is no external server, relay, or SaaS layer in the message path. Devices talk directly on your LAN.

Works fully offline

Internet outages have zero effect on paging or staff chat — because nothing depends on the internet.

Staff sign-in controls

Each staff member signs in with their own identity and PIN, and the admin controls who can access the system.

Frequently asked questions

Does IntegraChat transmit patient data to the cloud?+

No. IntegraChat transmits nothing to the cloud. All messaging, paging, and analytics data flows only between devices on your office’s local area network (LAN). There is no cloud subscription, no external relay, and no third-party data storage involved at any point.

What happens to messages and patient data if the internet goes down?+

Nothing changes. Because IntegraChat runs entirely on your local network, an internet outage has zero impact on paging, staff chat, or any other feature. Patient information never traverses the internet in the first place, so there is nothing exposed by an outage.

Do I need a Business Associate Agreement (BAA) to use IntegraChat?+

Because IntegraChat does not send or store patient information with any cloud subprocessor, there are no third-party data processors that would require a BAA. Your compliance officer should still review IntegraChat’s terms along with your practice’s own administrative safeguards.

Does IntegraChat require an internet connection at all?+

No. The server runs on a Windows PC inside your office, and every client connects over your local network. An internet connection is only needed if you want the optional built-in update check; paging and messaging work with no internet whatsoever.
